Responsibilities:
- Documents Workflow:
- Registration and routing of incoming correspondence
- Replying letters in time
- Preparation of documents for CEO/ company management signature
- Documents' signing coordination
- Preparation of documents on request of Director
- Preparation of internal orders, policies and regulations based on Director’s instructions, signing coordination
- Preparation of meeting minutes, monitoring of dead line fulfillment by employees nominated as responsible
- Preparation of presentations for Director
- Reception and routing of incoming calls
- Translation of the correspondence
- Directors’s calendar planning
- Organization of business trips
- Documentary support for business trips, drawing up of attendance reports
- Arrangement of meetings
- Management of travel related services (visa support, ticket booking, hotel reservation, conference room booking )
- Organization of internal meetings
- Meetings and conferences minutes issues
- Administrative support (order of office accessories, furniture, office relocations, archiving system)
- Guests/Visitors: coordination (hotel, visa), support
- Communication with departments, subordinated to Director
Requirements:
- Education: higher linguistic or comparable
- Education: higher linguistic or comparable
- Specific knowledge:
- fluent English and German,
- communication skills,
- flexibility, loyalty, reliability, stress tolerance
