Glossary of UTasks Terms

Area* - a larger project grouping that houses multiple projects within it.

Clicking on an Area reveals it as a project, with the contained projects displayed as subprojects.

Assignee - the person(s) responsible for completing the task, who can edit the task’s description, due date, and recurrence settings.

Multiple assignees can be set in a task*, with completion marked individually for each.

The author can monitor progress for each assignee and assignees have the ability to reopen tasks.

Author — the person who creates a task.

The Author is assigned automatically upon task creation but can also be changed during task editing.

Authors have the ability to edit all task fields, delete tasks, mark tasks as complete, and reopen them.

Date - the planned execution date for a task, editable by both Authors and Assignee.

Due Date* - the final date by which a task should be completed. Only the author can set or modify the deadline.

Inbox - a default personal project where tasks are stored when no other project is specified.

For new users, the first task will automatically be saved here. Later, additional personal projects can be created and selected for new tasks. If all personal projects are deleted, tasks will revert to the Inbox.

Project - a collection of tasks linked to a Telegram group. Projects are either personal or group.

Personal Project - a project containing private tasks for individual use.

Group Project - a project with tasks shared among group members, where members can assign tasks to one another.

Priority* - the importance level of a task, which can be set to "Low," "Medium", or "High". Priority can be assigned during task creation and adjusted as needed.

Project Administrator - the administrator of a Telegram group that serves as the foundation for a group project.

Project Administrators can create, edit, and delete any tasks within the project.

However, they can only mark a task as complete if they’re designated as the Author or an Assignee. If an Administrator wishes to complete a task, they must first be assigned as either the Author or an Assignee.

Status* - an indicator of a task’s current progress. PRO-users have five available statuses: "New", "To Do", "In progress", " In review" and "Closed/Done", while FREE-tier users can access only the "New" and "Closed/Done" statuses.

Task - a specific objective created by the author, with a due date and one or more assignees*. Tasks can also include deadlines and attached files.

Recurring Task - a task that repeats daily, weekly, monthly, or yearly. Notifications are sent as scheduled, and tasks are automatically shifted to the next period. If the task is completed, repetition stops.

Task Files* - documents and images attached to tasks.

Unlike other managers, UTasks does not store these files on its servers but keeps a link to them, ensuring maximum privacy and data security.

Telegram Stars - Telegram’s internal currency, available for purchase via Apple and Google in-app options or through the PremiumBot.

* - feature only available for PRO-plan users
