This is a hybrid scenario, so include relevant research from hci, multimedia, hypertext, cognitive psychology, graphics, etc the sciences, and any relevant design and art citations.

Pay special attention to the last several years of proceedings form whatever conference you plan to submit to.

When you find a relevant article, use it to find others through citation chaining.

Consider commerical and freelance applications, as well as academic papers.

Create a bibliography, with the entries alphabetized and formatted properly.

Include something like a gant chart.

Be very specific in defining each step.

If you are bidding on a project or entering a design competition, the design concept statement lays the groundwork for the visual components of the presentation.

Never assume that your design can speak for itself!

But nothing compared with the feeling of writing an executive summary.

The executive summary is arguably the most valuable component of any proposal.

Its purpose is clear, its potential is huge, and putting it together can be straightforward, if you change your approach and follow a few simple steps.

Hopefully it will make the proposal process less painful, and help you convince anyone on your team who might disagree to follow your lead.

First of all, the executive summary needs a rebrand.

To me, the name itself speaks of stuffy suits, boring jargon-filled reports, and boardrooms filled with cigar smoke and people ready to say no.

They think that this is where you explain the entire proposal in 250 words.

It should be persuasive, outlining why the client should choose your company.

It should be specific and focus on results.

You can save the features for the body of the proposal.

Some people feel you should write the executive summary first because it can help you outline your concept and organize your thoughts for the entire proposal.

Plus things may have changed since you first started the proposal so you might want to adjust your approach.

I like to write the executive summary first because it does help focus all the ideas your team had during the brainstorming process about the best way to pitch this client.

That being said, once the body of the proposal is finished i still go back to tweak the executive summary as needed.

Sometimes new ideas rose to the top as we worked through the proposal, or initial ideas we had turned out to be impossible to execute due to the client budget or timeline.

I used to leave writing the executive summary to the end, and since inevitably we were in a time crunch to get the proposal to the client, i would feel anxious and rushed to get it done.

Once i started doing this step at the beginning, it was one less thing to worry about.

I could edit the executive summary as needed plus i knew there would be no huge surprises in what other team members had prepared.

You need an opener that is compelling.

Focus on the issue and the result, but be direct, concise, and evocative.

Before a client will hire you, they want to know that you get them.

This is where you demonstrate your grasp of the situation.

You could include a bit of your own research or a brief reference to past experience dealing with a similar situation.

You should also talk about how the client will benefit from solving the problem what will change, the positive outcomes, the results.

But remember, this is just an overview.

They can read all the delicious details in the proposal so keep it high level but still provide enough detail to convince them you have something specific and well thought out for them.

This section should start to provide the client with a sense of relief and get them excited about the result.

It s time to show your stuff.

Talk about why your company, your team, or your product is not only willing to take this challenge on, but you are actually qualified to do so.

Talk about why you can make this a successful project and deliver results, but broken record keep it brief.

Make the client feel like they have no other chance for happiness than to hire you because of x and y that differentiate you from the competition and proves your solution is the one that will make their dreams come true.

Talk about why you want to work with them a little flattery goes a long way and about how, as partners, you will be successful.

This rule applies for everything but especially in proposals.

Of course in some situations you may need to reference certain details but remember that this is a persuasive document sell the benefits, not the features.

Save the tech stuff for the proposal.

Think about what they want to know, not what you want to tell them.

Like any piece of copy, you need to write for your audience so make sure you think about them, what turns them off and what turns them on.

People like to hear their names and the same holds true for businesses.

A book proposal argues why your book idea is a salable, marketable product.

It acts as a business case or business plan for your book that persuades a publisher to make an investment in you and your project.

Instead of writing the entire book, then trying to interest an editor or agent which is how it works with novels, you write the proposal first.

If a publisher is convinced by your argument, it will then contract you and pay you to write the book.

If properly developed and researched, a proposal can take weeks, even months, to write.

But having the manuscript complete does not get you off the hook when it comes to writing the proposal.

This bears little to no relation to a typical nonfiction book proposal.

Would you be ok reading a serious guide on how to invest in the stock market by someone who is living in a van down by the river?

While this is a broad generalization, i find that professional, published writers can typically sell a memoir based on the proposal alone, if they clearly have writing chops or publication credits to back up the proposal.

New, emerging writers who have no publishing track record will likely be asked to submit a complete manuscript to prove they can write, sometimes in addition to the book proposal itself.

While these questions are not explicitly addressed in the proposal i.

As a whole, your proposal must effectively answer them.

Editors care about one thing only: a viable idea with a clear market, paired with a writer who has credibility and marketing savvy.

Knowing your audience or marketand having direct, tangible reach to them online or offgives you a much better chance of success.

Pitch only the book you know has a firm spot in the marketplace.

Do not pitch a book expecting that the publisher will bring the audience to you.

You bring your audience and platform to the publisher.

This section analyzes competing book titles and why yours is different or better.

The analysis typically includes 5-10 titles.

You might be okay discussing just a few titles if your book is on a specialized topic or for a very narrow audience.

For each entry in your competitive title analysis, begin by listing the title, subtitle, author, publisher, year of publication, page count, price, format, and the isbn.

If it has a specific edition number, include that, too.

Travel is a good exampleits print sales have declined by 50 percent since 2007.

In as much detail as possible, discuss an identifiable market of readers who will be compelled to spend money on your information or story in book form.

However, avoid generically describing the book buying audience in the united states, orfor examplebroadly discussing how many memoirs sold last year.

We need to be able to envision who the readers are and how they can be marketed to.

It can be very tempting to make a broad statement about who your audience is, to make it sound like anyone and everyone is a potential reader.

What can you specifically do to market and promote the book?

Never discuss what you hope to do, only what you can and will do without publisher assistance, given your current resources.

Make it concrete, realistic, and attach numbers to everything.

Weak i plan to register a domain and start a blog for my book.

Weak i plan to contact bloggers for guest blogging opportunities.

Strong i am in contact with organizers at xyz conferences, and have spoken at 3 events within the past year reaching 5,000 people in my target audience.

You need to show that your ideas are not just pie in the sky, but real action steps that will lead to concrete results and a connection to an existing readership.

It can be helpful to begin with a bio you already use at your website or at linkedin.

Show how your expertise and experience give you the perfect platform from which to address your target audience.

If this is a weak area for you, look for other strengths that might give you credibility with readers or help sell bookssuch as connections to experts or authorities in the field, a solid online following, and previous success in marketing yourself and your work.

I suggest you write it last.

It needs to sing and present a water-tight business case.

A chapter outline works well for narrative or meaty works, especially those that are text-heavy and anticipated to come in at 80,000 words or more.

For each chapter, you write a brief summary of the idea, information, or story presented, usually 100-200 words per chapter.

The most important thing is to show how your book concept will play out from beginning to end, and strongly convey the scope and range of material covered.

Is there a smaller publisher that would be interested because they have a lower threshold of sales to meet?

A sizable platform and expertise is typically required to successfully sell a nonfiction book to a major publisher, especially for competitive categories such as health, self-help, or parenting.

So i could easily see some of these chapters as blog posts.

Long blog posts, yes, but still blog posts.

Just make sure what you do has a strategic purpose.

If a partial or full manuscript is requested, they will instruct you on how to send it via attachment or snail mail, and it should retain double spacing, etc.

Chapter summaries are generally third-person, present tense.

I will say that writing an outline in the third person was a great exercise for me.

For exhibition proposals, i send copies of my paintings but state that the body of work that will be shown in the exhibition may not contain all of the paintings sent and that other paintings will be added but they will be in the same style, etc.

I do this because while i am waiting for a reply or if the exhibit is more than a month away, those paintings could be put in another exhibition or could be purchased by the time of the proposed exhibit.

There is a local location, a pretty big garden that also have a gallery that exhibit garden related artworks, that i want to propose.

They used to be very casual and the quality of art varies.

Only this month, they have their gallery revised, instead of managing it themselves, they have invited a gallery owner to manage their gallery.

Last month i was fortunate enough to spend some time talking with tom sant, world s top expert on proposal writing.

This post contains his update on proposal-writing trends, along with other guidance he s given me in the past.

The purpose of the proposal is to make a persuasive case that leads to a sale.

If this is the first time the customer has heard of you, your proposal will be thrown out.

If the customer provided a template for the proposal, proposals that don t follow that template will be thrown out.

If the executive summary does not define the problem correctly or propose a reasonable solution, the proposal will be thrown out.

Of the proposals that met the minimum as defined above, the one that wins will be the one that provides the most value.

These may be quite different from the criteria and decision-makers defined in a request for proposal rfp.

If your proposal will be evaluated by both engineers and accountants, for instance, you ll need to understand both, and be able to communicate with both.

This consists of advertising, social networking, public relations, sponsoring conferences, sending speakers to conferences, publishing newsletters, and so forth.

This consists of establishing recognition through sales calls, customer meetings, emails, notes, texts, and phone calls.

It is a summary of the basic issues, the proposed solution, and the promised results.

Write the body of the proposal.

If so, follow that structure exactly.

According to sant, decisions are usually made based on the executive summary, but failing to follow a template automatically disqualifies you, regardless.

There should be no obvious grammatical errors and an absolute minimum of typographical errors.

If boilerplate standardized material from other proposals is included, it must be carefully customized to match the customer s own situation.

Many proposals have been thrown out simply because the proposal-writer left the name of one of the customer s competitors in a paragraph lifted from an old proposal.

To win the business, your proposal must overcome the following hurdles:the proposal will not win if you fail to uncover the customer s true decision criteria and decision-makers.

You must therefore research the customer-preferably be interviewing people in the various groups involved in the decision-to understand what s really going on.

Please note that different groups will likely have different takes on what s needed and will use different terms to describe the situation.

Your proposal will be thrown out unless you ve done marketing and sales activities that establish recognition in the mind of the decision-maker.

There are two ways to do this:create a public presence.

Now that you ve done your research and laid the groundwork, brainstorm the client s situation and your own approach to helping them.

Use these questions to get the discussion started:contrary to popular belief, the executive summary is not a summary of the contents of the proposal.

In many cases, the customer will have already defined the structure of the proposal or provided a template.

Appearance is as important as content.

Be extremely careful to edit any passages that might contain the names of other companies for which the boilerplate was used in the past.

It is also important to note again that each gallery will have different requirements for the proposal.

It is crucial to make sure you include everything that they ask for, or there is a possibility that they will not look at your proposal.

This practice eliminates the extra time added to the process by completely starting a new concept paper from the beginning each time.

For concept papers that are used more as an instructional or educational tool, the format may be similar with the exception of the exclusion of charts, graphs or budgets that may be geared toward the solicitation of funding.
