Create A Task
To create a task in Utasks, you have several convenient options:
1. Using the Widget
The «Add Task» widget is a flexible, easy-to-use tool that lets you quickly create tasks from any project or category.
Just tap «Add Task» on the app’s main page, or find it in sections like «All», «Inbox», «Today», «Tomorrow» or «Next 7 Days». With this widget, creating tasks feels effortless and can be done from nearly any part of the app, helping you stay organized without missing a beat.
Here’s how to enter task information effectively:
- Enter task details: Start by adding a clear description of the task;
- Set date and time: Use the calendar to pick the scheduled date and time for task completion. If needed, choose a recurring schedule — daily, weekly, monthly, or yearly;
- Define a due date*: Indicate the final deadline by which the task must be completed;
- Attach files*: Click the paperclip icon to attach files. Each file can be up to 20MB, with a maximum of 10 attachments per task;
- Set priority level*: Choose between «Low», «Medium» or «High» to prioritize the task accordingly;
- Select a project: By default, tasks are saved in your personal «Inbox» folder, where you’re the default Assignee. If necessary, choose a specific project folder;
- Set an assignee: For personal tasks, you’re automatically the assignee. In group projects, select one or more* Assignees from the project participants to handle the task;
- Submit the task: Click the arrow icon to finalize and save the task in the chosen project. The task will then appear in either your «Inbox» or the relevant shared project.
2. Via the Plus Button
The Plus button for adding a task is conveniently located at the bottom right of the UTasks main screen, as well as within projects and blocks.
Unlike the quick-add widget, the Plus button opens the full task form for detailed entry.
Simply click Plus and complete the fields as described above.
In addition, with the full task form, you can:
- Add a checklist to the task: To include a list within the task, tap the plus icon in the description field and enter each item. You can mark completed items by ticking the checkboxes beside each entry.
- Specify the task status: Choose from «New», «To Do», «In progress», «In review» or «Closed/Done». Please note that on the FREE-plan only «New» and «Closed» statuses are available.
Once all fields are filled in, simply click «Create» to finalize the task.
The «Back» button cancels task creation, discarding any entered information.
The created task will then appear in its assigned project, with these additional features:
- Unique Task Number: Each task is assigned a unique number, which can be used to reference the task instead of its name. Unique identifier consists of Project ID and Sequence Number (the sequential number of the task within that project).
- Calendar Integration: You can add the task directly to your device’s calendar.
- Discussion & Deletion: Access the options menu (triplet icon) to discuss or delete the task as needed. Choosing «Discuss» will send a message to the group chat for responses. All replies will be automatically recorded in the task history for future reference.
- History and Comments: This section tracks all activity within the task, showing an expanded log of updates, comments, and actions taken. Simultaneous updates are displayed as single events. Images, files, and links added to comments are accessible and clickable directly from this history, making it easy to view, download, or follow links as needed.
3. Sending a Message to the Bot
Creating a task this way is perfect for jotting down a quick task or reminder on the go.
There’s no need to open the app; simply send any message to the bot, and it will prompt you to create a task with that message as the title.
Once you confirm «Create task» it will be saved to your «Inbox» and assigned a unique task number.
From there, you can edit the task details — set dates, due date*, status*, priority*, attach files*, change the project or author, add assignees*, and etc.
You can also delete a task by selecting «Delete» or add a comment by selecting «Discuss» — just reply to any notification from the bot about the task, whether in a group or in a direct chat with the bot.
All changes and comments are recorded in the «History and Comments» section for easy tracking.
The task will be shown in the project folder, it's properties updated accordingly.
4. Forwarding a Message to the Bot
Creating a task in just two clicks is quick and easy, and even simpler than before. Here’s how it works: send any text message to the bot from any chat, and it will automatically suggest creating a task in your «Inbox» based on that message.
Once the task is created, you can edit it as needed — just like in method 3. You can update the task’s text, change the project, add a checklist, set dates and due date*, adjust its status and priority*, attach files*, author and assignees.
When you’re done, simply click «Save». The task will then appear in your project folder with all the updated details.
5. Using a Short Command
You can set tasks without even opening the app — just type it out from the chat!
